Section titled “Overview”Appointments are internal scheduling tools used to plan visits, inspections, and recurring tasks within the platform. They are intended for internal visibility and coordination and do not trigger notifications to homeowners or vendors.
Appointments represent when an activity is planned. They do not manage task execution, completion, or external communication.
Key Characteristics

How Appointments Are Used
Section titled “How Appointments Are Used”Appointments are used to schedule and track internal activity such as property visits, inspections, or planned work. They provide visibility into upcoming activity without initiating or managing work itself.
In some cases, an appointment may be scheduled to carry out or support work that is tracked elsewhere in the platform. Appointments remain independent and are managed separately.
Access and Permissions
Section titled “Access and Permissions”- PM (property managers) can create, edit, manage, and cancel appointments
- FO (field operators) can view appointments only

Where Appointments Appear
Section titled “Where Appointments Appear”Appointments are visible in the following areas of the platform:
- Global event calendar
- Property-level calendars
- Events section appointment list
- Related tasks or planned activity (for scheduling reference)
Field Operator (FO) Experience
Section titled “Field Operator (FO) Experience”Viewing Appointments
Section titled “Viewing Appointments”FO users access appointments through the Events page. The event calendar displays scheduled events for properties the FO has access to.
Calendar functionality includes:
- Navigation by day, week, or month
- A Today shortcut for the current date
- Filters for arrival, departure, work order, and appointment events
Appointment List and Details
Section titled “Appointment List and Details”Below the calendar, FO users can view a list of appointments. Each appointment displays:
- Homeowner name
- Appointment name
- Task, if applicable
- Date and time
- Associated vendor, if applicable
- Property address
Selecting an appointment opens the Appointment Details page, which includes:
- Property and homeowner information
- Appointment description and context
- Date and time
- Uploaded photos, if available
FO users cannot create, edit, or cancel appointments.
Property Manager (PM) Experience
Section titled “Property Manager (PM) Experience”Creating Appointments
Section titled “Creating Appointments”PM users can create appointments from the Events page by selecting New Appointment.
Appointment creation includes:
- Property selection
- Appointment name
- Description
- Optional task details
- Optional vendor association
- Date and time selection
- Photo uploads for reference or context
PM users can cancel creation or save the appointment.
Managing Appointments
Section titled “Managing Appointments”PM users can manage existing appointments by:
- Editing appointment details
- Updating date, time, or associated information
- Canceling appointments when no longer needed
An Edit option is available on the Appointment Details page.
Best Practices

- Keep appointments focused on scheduling and timing
- Use clear, concise descriptions to explain the purpose of the appointment
- Use other platform tools when execution, completion, or notifications are required
